Position Summary

The Leasing Administrative Assistant provides administrative and customer service support to the property management and leasing team. This role is responsible for coordinating leasing activities, maintaining resident and applicant records, preparing lease documentation, managing inquiries, and ensuring a positive experience for prospective and current residents.

Key Responsibilities

  • Assist leasing agents and property managers with daily administrative operations.
  • Answer phone calls, emails, and walk-in inquiries from prospective and current residents.
  • Schedule property tours and appointments for prospective tenants.
  • Prepare, process, and maintain leasing documents, applications, renewals, and resident files.
  • Verify application information and assist with screening and approval processes.
  • Maintain accurate records in property management software and databases.
  • Track lease expirations and support lease renewal efforts.
  • Coordinate move-in and move-out documentation and resident communications.
  • Collect and organize required paperwork, deposits, and supporting documentation.
  • Assist with marketing activities, including online listings and promotional materials.
  • Generate reports, correspondence, and other administrative documents as needed.
  • Support resident retention initiatives by providing exceptional customer service.
  • Ensure compliance with company policies, fair housing regulations, and applicable laws.
  • Coordinate with maintenance and property management teams regarding resident requests and service updates.

Qualifications

  • High school diploma or equivalent required; associate degree preferred.
  • 1-3 years of administrative, leasing, property management, or customer service experience preferred.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with property management software such as Yardi, RealPage, AppFolio, or similar systems preferred.
  • Strong attention to detail and accuracy.
  • Ability to maintain confidentiality and handle sensitive information.
  • Professional demeanor and customer-focused approach.
